IMPORTANT NOTICE REGARDING DOCUMENT COMPLETION AND FINALIZATION OF STUDENT FILES

All respected students are hereby informed that the process of completing and finalizing student files will be carried out exclusively for the following two categories of students and within the specified period.

Category 1: Students Holding Management Approval

Students whose admission has been completed and who have received an approval bearing the management’s official stamp and signature, along with a 20-day deadline for completing their documents, are required to finalize their files within the specified period.

Category 2: Students Who Were Present on Their Designated Admission Date

Students who were present on their designated admission date and whose files were incomplete at the time of admission may visit during the following period to complete their missing documents and finalize their files:

Document Completion Period: 11 August to 1 September

During this period, all required documents and receipts must be submitted completely and together as one complete set. Submission of incomplete documents or submitting only part of the required file will not be considered completion of the registration process.

ELECTRONIC SUBMISSION OF DOCUMENTS BEFORE IN-PERSON VISIT

All students covered by this notice are required to prepare and submit complete scans of all their documents before making an in-person visit. This includes original documents, receipts, and any additional or miscellaneous papers related to their file.

All document scans must be provided as image files and not as PDF files.

All images must be placed together in a single ZIP file.

The ZIP file must be sent via the Bale application through a private message to the designated administrator.

ZIP FILE SUBMISSION REQUIREMENTS

In the same message in which the ZIP file is submitted, students must provide all of the following personal information accurately and completely:

Full name in English
Passport number
Saurg Code or Adab Code
Field of study
Accepted academic level

All scans or images contained in the ZIP file must be clear and fully legible. They must not contain unnecessary margins, improper cropping, or blurriness.

After sending the file, the student must send only the number 2 in a separate message in order to confirm receipt of the message and proceed with the verification process, in accordance with the Bale message-submission instructions.

IMPORTANT NOTE

If a student has previously submitted the ZIP file and their file has already been completed and approved, they are only required to send the number 2 again in a separate message.

However, if the submitted message was incomplete, the file contained missing, defective, or unclear documents, or the message was not viewed and confirmed by the relevant office, the student is required to prepare and submit the complete ZIP file again in accordance with the requirements of this notice and then send the number 2 in a separate message.

 

BRINGING THE ADMISSION FORM

The term “Admission Form” refers to the document issued in connection with the administrative procedures and registration process completed on the student’s admission and registration date.

Students who received this form during the two-week registration process are required to bring it with them when visiting the office, if it is in their possession.

Since, in most cases, the original admission forms are retained by the relevant office, failure to bring the admission form will only be considered in exceptional circumstances.

VERY IMPORTANT NOTICE

This notice applies exclusively to students who attended on the date and within the period assigned to their admission and who meet the requirements of one of the two categories specified above.

Under no circumstances will documents belonging to students who did not attend on their designated admission date, or who did not submit and hand over the required original documents prior to the issuance of this notice, be accepted. Their files will not be eligible for completion or finalization.

Accordingly, in such cases, the student’s admission shall be considered cancelled, and their file will not be eligible for completion or continuation of the admission process.

Students are therefore strongly advised to prepare and submit all required documents and receipts completely and together before the end of the specified deadline.

Failure to attend within the specified period or submission of incomplete documents shall not impose any responsibility on the relevant office.
